strictly 7 days from the invoice date.
Our Payment Terms
By engaging Racetrack Veterinary Services to examine, diagnose, treat or provide veterinary services for a horse, you acknowledge that you are requesting professional veterinary services and agree to pay all applicable charges for the services, treatments, medications, products and associated costs provided.
This applies whether veterinary services are requested:- In person
- By telephone
- Electronically or through our website
- Through an authorised representative, including a trainer or syndicate manager
By requesting or authorising veterinary work, you are committing to paying for the professional services provided in accordance with the agreed billing arrangements and our Veterinary Terms of Trade.
Unless alternative arrangements have been expressly agreed to by RVS in writing, all invoices are payable within 7 days.
These terms apply to all veterinary services, including consultations, routine examinations, emergency call-outs, diagnostic imaging, procedures, medications, pre-purchase examinations and veterinary services carried out at racing stables, private properties, equestrian facilities and our veterinary premises.
Clients are responsible for providing accurate billing information and ensuring invoices are paid by the due date.
Where services are requested on behalf of a horse owner, syndicate or third party, the person requesting the work must have appropriate authority and provide the correct billing information.
Any third-party billing arrangement must be accepted by RVS. Simply nominating someone else to receive an invoice does not automatically transfer responsibility for payment.
How to Pay Your Invoice
We offer several convenient payment options to help our clients manage the cost of veterinary care.
Credit or Debit Card
We accept eligible credit and debit card payments through our payment facilities. Where a secure online payment link is included on an invoice, clients can use this to pay their accounts conveniently.
Any applicable card surcharge will be disclosed before payment.
Electronic Funds Transfer (EFT)
Clients can pay directly into our bank account using the banking details provided on their RVS invoice.
Please include your invoice number or client account number as the payment reference so that payments can be allocated correctly.
Veterinary Account – ezVet
Approved clients receive invoices and account statements electronically through our veterinary practice management system, ezVet.
All standard invoices are due within 7 days unless alternative arrangements have been agreed to in writing.
Clients should ensure their email addresses are up to date and check junk or spam folders if invoices are not received.

VetPay – Veterinary Finance
We offer VetPay as a finance option for eligible clients who would prefer to spread the cost of approved veterinary treatment over time.
VetPay is an independent finance provider, and all applications are subject to its lending criteria, approval processes, fees and terms and conditions.
VetPay – Manage Veterinary Expenses
Unexpected veterinary treatment can place financial pressure on horse owners. Racetrack Veterinary Services offers access to VetPay to help eligible clients manage approved veterinary expenses through scheduled repayments.

Applications are subject to approval. Deposits, interest, annual fees and other charges may apply, and clients should review VetPay's current terms before proceeding.
Important: VetPay is a third-party finance arrangement and does not automatically extend RVS's standard 7-day payment terms. Clients remain responsible for payment until an approved transaction has been processed.
Overdue Accounts and Late Payment
At Racetrack Veterinary Services, we ask all clients to respect our payment terms and settle invoices promptly.
Our Terms of Trade provide for the following, subject to applicable law:
| Account Status | Payment Conditions |
|---|---|
| Days 1–7 | Standard payment period |
| From day 8 | $100 late administration fee may apply |
| After 30 days | Interest may accrue at 21% per annum on overdue balances |
| After 60 days | The account may be referred for debt recovery, with legally recoverable costs charged |
| 60+ days overdue | Non-emergency veterinary services may be suspended, subject to professional and animal welfare obligations |
RVS reserves the right to request advance payment or a deposit for future veterinary services where accounts remain overdue.
These provisions must be consistent with our published Veterinary Terms of Trade and should be legally reviewed prior to publication.
Having Difficulty Paying Your Account?
We understand that unexpected veterinary expenses can sometimes create financial difficulties.
If you anticipate difficulty paying your invoice, please contact our administration team before the payment due date.
We may be able to discuss available options, including whether VetPay is appropriate.
Any alternative payment arrangement must be agreed to by RVS in writing.
Early communication is always preferable to allowing an account to become overdue.

The original person requesting or authorising the work remains responsible unless a different arrangement is expressly accepted in writing.
